The Administrative Support Specialist shall provide direct assistance to the Government Divisions. The work required by this position is more challenging and varied in nature, and involves some originality and interpretation skills. Situations outside set parameters are referred to management for clarification. The individual performing in this position must be able to make direction well and work independently. Normal functions required of this position include filing, entering data , having interpersonal, written, and verbal communication skills, analytical thinking, and problem solving.

  • Demonstrates a professional level in verbal and written communications 

  • Prepares all types of written correspondences

  • Participates in other program assistant and clerical duties as assigned 

  • Develops and conducts special projects as assigned 

  • Works in groups and teams on special projects to accomplish program goals 

  • Prepares special reports on an as needed basis 

  • Researchers independently issues and questions and provides results in a variety of formats

  • Manages the programs for District Offices and Headquarters accounts 

  • Monitors programs to ensure programs are operating efficiently and effectively 

  • Maintains reports and submits verbal, written, and numerical information from the database when required 

  • Maintains the suspense system for the individual's assigned to the Branch, identifies past due items, ensuring that due dates are met

job requirements

  • Must possess a High School diploma or equivalent

  • Must have three (3) years of specialized experience that is related to the duties described above

  • Must have superior time management , organization, and prioritization skills

  • Must have the ability to build and maintain relationships with internal employees as well as outside sources

  • Must have excellent attention to detail

  • Must have strong communication skills

  • Must exhibit a high level of confidentiality 

  • Must have the ability to quickly and effectively adapt to change 

  • Must have the ability to embrace new systems and process enhancements 

  • Must have superior knowledge of Microsoft Office Suite is required
