Clearance: Top Secret (TS) with SCI Access

Location: Washington, D.C.

JOB OVERVIEW

The FBI Intelligence Branch (IB), Intelligence Resource Unit (IRU) supports the Executive Assistant Director (EAD), the Executive Staff Section, and the Division components. The Administrative Assistant shall provide executive-level administrative and data management support to ensure that all assigned tasks are completed by and among executive managers, government personnel, and various government programs

JOB RESPONSIBILITIES

  • Use intuitive judgment for administrative details, including scheduling meetings, researching information from internal and external sources, prioritizing communications, and responding to routine inquiries.

  • Manage shared mailbox and task accordingly by responding to emails as well as obtaining and releasing information within scope of delegated authority.

  • Prepare documents, letters, memorandums, reports, and briefings.

  • Use sound business ethics, including the protection of high priority and confidential and classified information.

  • Enter and assign external inquiries and requests for coordination in the Task Management System (TMS) to the appropriate action officers within various divisions.

  • Provide prompt administrative support to internal and external stakeholders to clarify task guidance.

  • Update the TMS Administrative Group by removing and adding new users, Points of Contact, and adjusting roles in the system as needed.

  • Maintain daily TMS task tracker and provide weekly status reports to the Team Lead and IRU Management on all outstanding tasks.

  • Attend various meetings with internal and external stakeholders and draft meeting minutes for IRU management dissemination.

  • Apply knowledge of office organizational procedures and personnel to make independent decisions and serve as a credible resource for the government leads and the team.

  • Perform administrative duties as required, including telephone coverage, filing, and task management.

JOB REQUIREMENTS 
  • Top Secret Security Clearance from a Single Scope Background Investigation (SSBI) with Sensitive Compartmented Information (SCI) access approval eligibility.

  • Must have an Associate or Bachelor’s Degree. A minimum of five years of specialized experience that is in or directly related to the line of work of the position may be substituted for education.

  • Must have five years minimum experience providing administrative support at an executive-level within a federal government and/or corporate environment.

  • Must have five years minimum experience preparing documents, letters, memorandums, reports, briefings, and/or administrative forms, such as government travel and expense forms.

  • Must have five years minimum experience proofreading grammar and punctuation with a high level of accuracy.

  • Must have excellent interpersonal, written, and oral communication skills.

  • Must be able to multitask independently in a fast-paced environment.

  • Must have demonstrated experience and a high degree of proficiency using MS Office, including Word, Excel, PowerPoint, and Outlook.
